Payment Terms and Conditions

These payment terms and conditions (the “Terms”) govern the relationship between the customer (“Customer”) and The Shalom Trek and Expedition (“Company”), a trekking service provider based in Nepal. By booking a trek with the Company, the Customer agrees to abide by the terms outlined below.

1. Booking Confirmation

To confirm your booking with The Shalom Trek and Expedition, a deposit of [percentage]% of the total trip cost is required. Once the deposit is received, we will send you a booking confirmation and an itinerary. The balance of the total trip cost must be paid no later than 30 days before the start of the trek.

2. Deposit Payment

  • The initial deposit is required within 30 days from the date of booking.
  • The deposit amount is non-refundable once received.
  • The Customer may choose to pay the deposit via bank transfer, credit card, or any other payment method accepted by the Company.

3. Full Payment

  • The remaining balance of the trip cost must be paid no later than [X] days before the trek begins.
  • The Customer may choose to pay the balance via bank transfer, credit card, or in cash (Nepalese Rupees) upon arrival in Nepal.
  • If the balance is not paid by the specified due date, the Company reserves the right to cancel the booking and retain the deposit.

4. Cancellation Policy

In the event that the Customer wishes to cancel their booking, the following cancellation charges will apply:

  • More than [X] days before the trek: Full refund of the balance (excluding deposit).
  • Between [X] and [Y] days before the trek: [Percentage]% refund of the balance (excluding deposit).
  • Less than [Y] days before the trek: No refund of the balance, and the full deposit is forfeited.

The Company reserves the right to cancel the trek due to unforeseen circumstances such as natural disasters, political unrest, or other force majeure events. In such cases, the Customer will be provided with alternative dates or a full refund of the balance paid.

5. Payment Methods

The Company accepts payments via:

  • Bank Transfer: Bank details will be provided upon booking.
  • Credit Card: Payments can be made through secure online payment gateways (a small processing fee may apply).
  • Cash: Payment upon arrival.

6. Trip Alterations

If the Customer wishes to modify the itinerary or trek dates, such requests must be submitted in writing to the Company. The Company will make reasonable efforts to accommodate such requests. However, changes may incur additional costs, which will be communicated to the Customer and must be paid before the changes are finalized.

7. Currency

All payments made to the Company should be in US Dollars (USD), unless otherwise agreed upon. Payments made in other currencies may be subject to conversion fees.

8. Insurance

The Company highly recommends that all Customers obtain comprehensive travel insurance that covers trip cancellations, medical emergencies, trekking-related accidents, and lost or stolen baggage. Insurance coverage should be in place before embarking on the trek.

9. Liability

  • The Customer understands that trekking in Nepal involves inherent risks, including but not limited to altitude sickness, environmental hazards, and natural disasters.
  • The Company will make every effort to ensure the safety and well-being of the Customer during the trek. However, the Customer accepts full responsibility for their actions, safety, and well-being during the trek.
  • The Company shall not be held liable for any loss, injury, or death that occurs during the course of the trek.

10. Refunds and Complaints

If the Customer is unsatisfied with the services provided during the trek, they should inform the trek leader or guide immediately so that the issue can be addressed. Complaints made after the completion of the trek may not be eligible for refunds.

11. Travel Documents

It is the Customer’s responsibility to ensure they have all necessary travel documents, including a valid passport and appropriate visas for Nepal. The Company is not responsible for any travel delays or issues arising from missing or incorrect travel documents.

12. Health and Fitness

Trekking in Nepal requires a certain level of physical fitness. The Customer is responsible for ensuring they are physically fit and capable of completing the trek. The Company reserves the right to refuse participation to anyone deemed unfit for the trek, and such refusals are not eligible for refunds.

13. Special Requirements

If the Customer has any special requirements (e.g., dietary restrictions, medical conditions, or accessibility needs), these must be disclosed to the Company in advance, so appropriate arrangements can be made.

14. Force Majeure

Neither the Customer nor the Company shall be liable for any failure or delay in performing their obligations if such failure or delay is due to any cause beyond their reasonable control, including but not limited to natural disasters, political instability, war, or transportation issues.

15. Governing Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the laws of Nepal. Any disputes arising under or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts in Nepal.

16. Acceptance of Terms

By booking a trek with The Shalom Trek and Expedition, the Customer acknowledges and agrees to the terms and conditions outlined above. Any amendments or changes to the booking will be communicated and agreed upon in writing.
